How to Consolidate 6–10 Business Tools into One Platform
"You're paying 6 vendors to do what one platform handles. Here's the consolidation playbook."
You're paying 6 vendors to do what one platform handles. Accounting, CRM, payroll, inventory, project management, analytics — each with a separate login, separate data, and a separate invoice. Here's the consolidation playbook.
Step 1: Audit Your Current Stack
List every business tool you're paying for and what it does:
- Accounting — Xero, MYOB, QuickBooks (monthly cost: $)
- CRM — HubSpot, Salesforce, Pipedrive (monthly cost: $)
- Payroll — Deputy, Employment Hero, KeyPay (monthly cost: $)
- Project management — Asana, Monday, ClickUp (monthly cost: $)
- Inventory — DEAR, TradeGecko, Cin7 (monthly cost: $)
- Other — document management, reporting, scheduling (monthly cost: $)
- Total all costs → this is your current stack cost
Step 2: Map Each Tool to XIntelliSync
XIntelliSync replaces or consolidates these categories:
- Accounting → built-in (invoicing, expenses, BAS, P&L, bank reconciliation)
- CRM → built-in (leads, deals, pipelines, contacts, campaigns)
- Payroll → built-in (STP Phase 2, super, leave, timesheets)
- Inventory → built-in (stock tracking, purchase orders, suppliers)
- Projects → built-in (tasks, time tracking, resource allocation)
- Reporting → built-in (dashboards, KPIs, financial reports, AI agents)
Step 3: Migrate Data Tool by Tool
For each tool you're replacing:
- Export data as CSV or connect via OAuth (where supported)
- Import into XIntelliSync using the Data Import Wizard or direct integration
- Verify data integrity — check record counts and totals
- Run both in parallel for a transition period
- Cancel the old subscription once you're confident
