The Complete Data Migration Checklist for Switching Business Software
"Bad migrations don't lose data. They corrupt it. Use the checklist."
Bad migrations don't lose data. They corrupt it — wrong dates, duplicated records, mismatched amounts, missing GST codes. Use this checklist to avoid the common mistakes.
Pre-Migration Checklist
Before you export from your current system:
- ☐ Run all outstanding reconciliations — start clean
- ☐ Export a trial balance or summary report as a benchmark
- ☐ Note your chart of accounts structure
- ☐ Count total records by type (customers, invoices, expenses)
- ☐ Back up your current system data
- ☐ Check if your current system exports dates as DD/MM/YYYY or MM/DD/YYYY
During Migration
While importing into XIntelliSync:
- ☐ Import one data type at a time (customers first, then invoices, then expenses)
- ☐ Verify column mapping before confirming each import
- ☐ Preview sample records before bulk import
- ☐ Check for duplicate detection warnings
- ☐ Verify GST codes mapped correctly
Post-Migration Verification
After import completes:
- ☐ Compare total record counts — source vs XIntelliSync
- ☐ Compare total invoice amounts — they must match
- ☐ Run a trial balance and compare to your pre-migration benchmark
- ☐ Check 5-10 random records in detail — amounts, dates, contacts
- ☐ Connect bank feeds and reconcile recent transactions
- ☐ Run a test BAS preparation and compare to your last quarter
